The challenge

Promoters, agents and artists trade documentation before every show. No single tool covered that handover.

What it turned out to be

One app for the whole advancing workflow, from brief to signed-off documentation.

Advancing is the coordination phase before an event. Documentation moves between promoters, agents and artists, and every exchange has to land before the doors open.

No single tool covered this workflow. The exchange lived in email threads, which meant the current version of anything was whatever the last person remembered to attach.

The workflow

What passes between whom

Mapping the handoffs first showed what the app had to hold. It is a sequence with a deadline rather than a document store.

Approach

Two weeks means scope is the design decision

I benchmarked event platforms and mapped the journeys and deliverables across advancing. Two things came out of it.

No tool covers the full flow

Existing platforms handle ticketing or scheduling. The advancing exchange itself sits between them, which is why it defaults to email.

Speed matters more than feature depth

Promoters are working to a fixed date. A tool that is thorough but slow loses to the inbox they already have open.

Design

Wireframes to prototype

Wireframes. Structure agreed before any visual decision.
